A Line for Every Extension

I recently replaced the business phone systems in the company I own to accommodate the wants of my staff. I would like I may say that it was to accommodate the wants of our customers, however sadly, that isn’t the case. You see, our recent phone system had several more extensions than we had lines for. It absolutely was engineered with the assumption that inter-office communications would be used more than incoming and outgoing calls. Since my company deals primarily with internet business and does not do abundant in the approach of transactions over the phone, the system I put in place within the late 90’s had served us well until terribly recently. As currently, I’ve got had vendors who had historically reached me by phone sending me e-mails. They were complaining that it’s typically not possible to get through to me. I looked into the matter and this can be what I found… Most of my employees were spending a great deal of time talking on the phone. They weren’t talking to vendors, customers, service suppliers or different business entities. Instead, they were utilizing the phone for personal reasons.

Do not get me wrong, I’m not the sort of boss who thinks it’s never acceptable to speak on the phone. I understand that during the workday, things are inevitably bound to come back up which need an employees’ attention. We have a tendency to’ve all been there. Maybe a child is sick or the automotive is during the search needing repairs. I understand that this stuff usually require time spent on the phone. Judging from the traffic on my lines and also the astronomical phone bills I was receiving, however, this was manner beyond what I assume any employer would contemplate acceptable.

Thus, I made a decision to exchange the old phone system. The new system contains a line for each extension, together with mine, therefore that vendors or anyone else will be ready to succeed in me at any time. Since the new phone system also offers increased functionality, I had a further feature programmed in.

Currently, whenever someone makes an outgoing call, they must dial in their own code therefore that each the amount they decision and the days spent are recorded. These records are matched to the phone bill and all staff are required to mark the non-business related calls they create each month. Since the calls bear their code, they cannot say it wasn’t them who made the call. After all, they have to get these calls. I have noticed that phone times (and my phone bills) have decreased substantially.
